This Privacy Policy explains how Leadline collects, uses, stores, and shares information when you use our website, create an account, purchase a subscription, connect services, or use Leadline to monitor buyer intent and automate related workflows.

This page is intended to provide a fuller description of our privacy practices, including what data we can access, what we do not access by default, how public buyer-intent monitoring works, and how we handle account, billing, analytics, and support information.

If Leadline processes personal data on behalf of a customer as a processor, our Data Processing Agreement may also apply in addition to this Privacy Policy.

1. Scope of this Privacy Policy

This Privacy Policy explains how Leadline collects, uses, stores, discloses, and otherwise processes personal data when you visit our website, create an account, connect services, use Leadline workspaces, or communicate with us. It also explains the limits of what Leadline can and cannot access in the ordinary course of providing the service.

This Privacy Policy applies when Leadline acts as a controller of personal data for our own business purposes, such as account administration, billing, analytics, security, customer support, and website operations. When Leadline processes data on behalf of a customer as a processor, our Data Processing Agreement applies in addition to this Privacy Policy.

2. Information we collect directly from you

We may collect information you provide directly to us, including your name, email address, login credentials, workspace name, billing contact information, support communications, feedback, onboarding inputs, workflow settings, target subreddits, campaign keywords, reply templates, routing preferences, and any other information you choose to submit through the Services.

If you purchase a paid plan, payment processing is handled by third-party payment providers. Leadline does not store full payment card numbers. We may receive limited billing and subscription metadata such as customer identifiers, plan status, invoice status, payment timestamps, and partial payment method details from our payment providers.

3. Information we collect automatically

We may automatically collect device, browser, network, usage, and log information when you use the website or Services. This may include IP address, device identifiers, pages viewed, referring URLs, browser type, operating system, timestamps, click events, error logs, session activity, and similar diagnostic information.

We may use cookies, local storage, analytics tools, and comparable technologies to support authentication, remember settings, understand usage, measure product performance, improve the website, and detect abuse or suspicious activity.

4. Public-source monitoring and Reddit-related data

Leadline is built to monitor public buyer-intent signals, including public Reddit posts, public Reddit comments, subreddit names, titles, URLs, timestamps, and related public engagement metadata. We may collect, index, summarize, score, and display such public content to customers using the Services.

If a customer connects a third-party account for outreach workflows, Leadline may process the connected username, encrypted session material, message or reply data retrievable through that connection, and generated or submitted content required to perform the enabled workflow.

5. What Leadline can access

  • Account and workspace information needed to authenticate users and deliver the Services.
  • Public Reddit content that is monitored, analyzed, summarized, scored, or routed through customer workflows.
  • Customer-created workflow settings, saved leads, filters, prompts, templates, and automation preferences.
  • Connected account information and associated reply data where a customer explicitly enables that connection.
  • Operational logs, support records, and usage analytics needed to operate, secure, and improve the Services.

6. What Leadline does not access by default

  • Private subreddit content that is not otherwise lawfully available through the customer’s configured use of the Services.
  • Your Gmail, Slack workspace, calendar, CRM, or other third-party tools unless you separately connect, export, or submit relevant data for that workflow.
  • Full payment card numbers or payment processor-hosted sensitive authentication data.
  • Plain-text Reddit passwords as a standard product requirement; where session material is used for connected Reddit workflows, Leadline stores such material in encrypted form.

7. How we use information

We use personal data to provide, maintain, secure, and improve the Services; create and manage accounts; authenticate users; process subscriptions; monitor public buyer-intent signals; generate summaries, classifications, and reply drafts; support workflow routing and automation; communicate with customers; provide support; enforce our agreements; and comply with legal obligations.

We may also use information for internal analytics, product research, abuse prevention, fraud detection, service reliability, debugging, security investigations, and legal recordkeeping.

8. Legal bases for processing

Where applicable law requires a legal basis for processing, Leadline may rely on one or more of the following: performance of a contract, compliance with legal obligations, legitimate interests, and consent where consent is required. Our legitimate interests may include securing the Services, improving the product, understanding usage, communicating with customers, and operating our business efficiently.

Where we rely on consent, you may withdraw consent where required by law, although doing so may affect the availability or functionality of certain features.

9. How we disclose information

We may disclose personal data to service providers and subprocessors that help us operate the Services, including hosting, database infrastructure, authentication, analytics, customer communications, AI inference, payment processing, and support tools. We may also disclose information where necessary to comply with law, respond to lawful requests, protect rights and safety, investigate fraud or abuse, or in connection with a corporate transaction such as a merger, acquisition, financing, or sale of assets.

We do not sell personal data for money. We do not disclose personal data to unrelated third parties for their independent marketing use.

10. AI-generated outputs and automation

Leadline may use AI systems to analyze public buyer-intent content, generate summaries, classify fit, suggest next actions, draft replies, or support similar workflow operations. AI-generated outputs may be inaccurate, incomplete, or inappropriate for a particular context and should be reviewed where accuracy, legality, or judgment matters.

Customers are responsible for deciding whether to use AI-generated outputs and whether to enable any automation features. Leadline does not guarantee that generated outputs are legally sufficient, factually complete, or suitable for any particular use.

11. Data retention

We retain personal data for as long as reasonably necessary to provide the Services, maintain accounts, support customers, meet contractual commitments, keep security records, resolve disputes, enforce agreements, and comply with law. Retention periods may vary depending on the type of data and the purpose for which it is processed.

We may retain limited backup, logging, or compliance information for a reasonable period after account deletion or contract termination where necessary for security, fraud prevention, or legal compliance.

12. Security

Leadline uses technical and organizational measures designed to protect personal data against unauthorized access, disclosure, alteration, and destruction. Such measures may include encrypted transport, access controls, authentication safeguards, encrypted storage of certain secrets or credentials, environment protections, logging, and monitoring.

No service can guarantee absolute security. You are responsible for maintaining the confidentiality of your account credentials and for notifying us promptly if you believe your account has been compromised.

13. International transfers

Leadline and its service providers may process personal data in countries other than the country in which you are located. Where required by law, we will use an appropriate transfer mechanism for cross-border transfers, which may include contractual safeguards or another approved transfer mechanism.

14. Your privacy rights

Depending on your location, you may have the right to request access to personal data, correct inaccurate data, delete data, restrict or object to certain processing, obtain a portable copy of certain data, and lodge a complaint with a supervisory authority.

If Leadline processes data on behalf of a customer as a processor, we may direct your request to the relevant customer where appropriate. We may request additional information to verify your identity before acting on a request.

15. Children’s privacy

Leadline is not directed to children and is not intended for use by individuals under the age at which they can lawfully consent to the processing of their personal data in their jurisdiction. We do not knowingly collect personal data from children for our own direct business purposes.

16. Changes to this Privacy Policy

We may update this Privacy Policy from time to time to reflect changes to the Services, law, or our processing practices. If we make material changes, we may provide notice by updating this page, through the Services, or by other appropriate means. Your continued use of the Services after an update becomes effective means the updated Privacy Policy will apply, subject to applicable law.
